We are currently seeking an experienced and dynamic Office Administrator to join our team and contribute to our growth and success. This role provides an exciting opportunity to be a part of a respected organization in the legal and corporate services industry.
Job Responsibilities
As an Office Administrator at DVMGopal & Associates, you will take on a diverse range of tasks that will allow you to develop and hone your skills in administration and human resource management. Your key responsibilities will include, but are not limited to:
Maintaining Employee Records
You will be responsible for managing various employee records, including attendance, Equal Employment Opportunity (EEO) data, and other essential documents. You will ensure these records are accurately maintained and updated in accordance with company policies and legal requirements.
Drafting Engagement Letters
The role involves preparing and drafting engagement letters for employees and clients. This will require attention to detail and understanding of contractual terms, ensuring clarity and compliance with regulations.
Preparing Employee Performance Reports
You will assist in creating performance reports for employees, helping with evaluations and assessments based on set metrics. This includes collaborating with department heads and managers to collect relevant data.
Payroll Process Management
One of your key responsibilities will be to oversee the payroll process, ensuring that employees are paid on time and that all necessary deductions are made in compliance with company policies and government regulations.
Provident Fund (PF), Employees’ State Insurance (ESI), and Professional Tax (PT) Compliance
You will be involved in handling PF, ESI, and PT registrations and ensuring the timely compliance of periodical filings and payments. This requires a solid understanding of government regulations and labor laws.
Screening New Candidates
As part of the HR support function, you will assist in screening potential candidates for open roles within the organization. You will coordinate with the recruitment team and assist in conducting initial interviews, background checks, and shortlisting the most suitable candidates.
Preparing Articles and Newsletters
You will be tasked with preparing internal and external communication materials such as articles and newsletters. These documents will inform employees about company updates and provide valuable industry insights.
Coordinating with Clients and External Agencies
You will act as a liaison between the firm and external clients, government agencies, and other external entities. Maintaining good relationships and effective communication with these stakeholders is key.
Managing Office Supplies and Systems
Ensuring the office runs smoothly will be part of your responsibility. You will be managing office supplies, handling IT-related issues, and troubleshooting hardware or software problems to ensure that the team can work efficiently.
Vendor Coordination
You will coordinate with various vendors for office supplies, services, and maintenance requirements. Building strong relationships with suppliers and vendors will be important in ensuring seamless operations.
Additional Tasks
As an Office Administrator, you may also be required to take on additional tasks from time to time, depending on the evolving needs of the business. Flexibility and a proactive approach to work are essential for success in this role.
Desired Candidate Profile
We are looking for a candidate with the following skills and qualifications:
Experience: 2-3 years of experience in office administration, HR support, or a related field.
Communication Skills: Excellent written and verbal communication skills are essential for the role. You should be able to communicate effectively with internal teams, clients, and external stakeholders.
Microsoft Office Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools. Knowledge of MS-365 is highly preferred.
HR Knowledge: A solid understanding of HR processes and compliance, including payroll, PF, ESI, and PT, will be an advantage.
Independent Work and Team Coordination: Ability to work independently while coordinating with various teams and ensuring smooth workflow.
Proactive Approach: You should demonstrate a proactive approach to tackling administrative challenges and ensuring timely completion of tasks.
Educational Qualifications
Undergraduate (UG): Any Graduate
Postgraduate (PG): MBA/PGDM in Any Specialization, MCA in Any Specialization, M.Tech in Any Specialization, M.Com in Any Specialization, or other Post Graduate qualifications.
