Key Deliverables

Key areas of accountability for the Head of Project Management include:

  • Developing and implementing Level 4 Project Execution Plans.
  • Tracking project milestones through S-Curves.
  • Managing project finances, including cash inflow and outflow statements.
  • Preparing and monitoring budgets.
  • Forecasting monthly cash flows.
  • Leading and facilitating regular progress review meetings.
  • Building lasting relationships with customers.
  • Assembling and managing high-performing project teams.
  • Overseeing comprehensive contract management.
  • Handling project changes and mitigating risks.
  • Upholding stringent quality assurance standards.
  • Administering vendor change order processes.

Key Relationships

  • Internal: Cross-functional collaboration with all departments, including procurement, engineering, and finance teams.
  • External: Coordination with site teams, customers, vendors, and regulatory/government agencies.

Primary Responsibilities

  1. Project Planning:
    • Define comprehensive project plans with detailed timelines, resource allocations, and cost estimates.
    • Regularly update project plans in coordination with Project Control Managers.
  2. Execution and Monitoring:
    • Monitor deliverables to ensure they align with established corporate policies and comply with all relevant industry regulations.
  3. Resource Management:
    • Identify and allocate resources, including manpower, materials, tools, and equipment.
    • Define a clear project organogram, delineating roles and responsibilities.
  4. Kick-Off and Site Survey:
    • Conduct internal kick-off meetings to align the project team.
    • Finalize execution strategies based on comprehensive site surveys.
  5. Risk and Performance Management:
    • Conduct monthly risk assessments with implementation of mitigation strategies.
    • Regular performance reporting covering costs, revenues, cash flow, and KPIs to the SBU Head.
  6. Change Management:
    • Oversee and negotiate project change orders directly with clients, ensuring mutual agreement and documentation.
  7. Compliance and Safety:
    • Guarantee unwavering compliance with all contractual commitments and agreements.
    • Maintain compliance with safety regulations, quality standards, and corporate policies.
  8. Financial Management:
    • Approve procurement of project materials and services within delegated authority.
    • Review and validate monthly activity schedules.
    • Monitor cash flow and manage financial reporting.
  9. Client Coordination:
    • Act as the primary interface with clients, subcontractors, and local authorities.
    • Lead client meetings, negotiate change orders, and handle customer escalations.
  10. Project Closure:
    • Obtain Project Completion Certificates.
    • Ensure proper documentation and prepare comprehensive project close-out reports.

Shared Cross-Functional Responsibilities

  • Collaborate across functions such as HSE&QM, Asset Management, and Supply Chain.
  • Engage in regular project progress meetings and provide insights.
  • Deliver detailed monthly project status reports and performance updates to the SBU Head.
  • Manage client invoicing and claims in coordination with the SBU Head.

Essential Functional Competencies

  • Primavera: Proficiency in Primavera for project scheduling and management.
  • Contract Execution Strategy: Deep understanding of managing and executing EPC contracts.
  • Regulatory Knowledge: Familiarity with industry codes, standards, and EIL specifications.
  • HSE Expertise: Sound knowledge of Health, Safety, and Environmental standards.
